Position Overview We are seeking a highly organized, detail-oriented, and proactive Medical Records Retrieval Specialist to support a U.S.-based personal injury law firm. This individual will be responsible for requesting, tracking, following up on, and obtaining medical records and billing documentation needed to move personal injury cases forward efficiently. The adecuado candidate will have previous experience supporting U.S.-based personal injury law firms, strong communication skills, and the ability to manage multiple record requests while ensuring accuracy and timely completion.
Key Responsibilities
- Communicate regularly with medical facilities and third-party record retrieval companies to obtain outstanding records.
- Conduct consistent follow-ups through phone calls, emails, faxes, and online portals to ensure timely delivery of requested documentation.
- Track and manage outstanding medical record requests, ensuring no requests are overlooked or unnecessarily delayed.
- Review received medical records and bills for completeness and accuracy, identifying missing documents or treatment dates.
- Organize, label, and upload medical documentation into the firm's case management system.
- Work closely with case managers, paralegals, and attorneys to ensure medical documentation is available when needed.
- Identify delays or issues in obtaining medical records and proactively resolve them.
- Maintain accurate records of all requests, follow-ups, and communications with medical providers.
- Handle sensitive client medical information while maintaining confidentiality and complying with applicable HIPAA requirements and firm procedures.
- Assist with obtaining updated medical records as clients continue treatment throughout the personal injury case lifecycle.
Qualifications & Requirements2–3 years of experience in medical records retrieval, preferably supporting U.S.-based personal injury law firms.
- Strong understanding of the personal injury case process and the importance of medical documentation
