Hormona Vida is a U.S.-based women’s health company focused on personalized hormone optimization, metabolic health, preventive care, and longevity.

We are looking for an exceptional Patient & Provider Coordinator based in Peru who will serve as a central point of communication for both our patients and healthcare providers.

This is a highly customer-facing position. The right person must be warm, polished, responsive, organized, technologically capable, and genuinely passionate about providing an outstanding patient experience.

Because we are currently a growing organization with manageable patient volume, this position will combine several responsibilities, including patient coordination, provider coordination, incoming phone support, scheduling, onboarding, follow-up, and administrative support.

As the organization grows, the position and responsibilities may evolve.

The Role

You will be one of the primary voices of Hormona Vida.

You will answer incoming phone calls throughout the business day, assist current and prospective patients, coordinate appointments and follow-ups, communicate with providers, and make sure patients do not get lost between different steps of their care.

We are looking for someone who believes excellent customer service means more than simply answering a question. It means taking ownership and making sure the person receives the help they need.

Patient Coordination Responsibilities

- Answer incoming patient and prospective-patient phone calls throughout the business day
- Provide a warm, professional, and knowledgeable first impression of Hormona Vida
- Respond to general patient questions within the appropriate scope of the role
- Help prospective patients understand our services and the next steps for getting started
- Schedule and coordinate patient appointments
- Assist with patient onboarding
- Help patients navigate technology, portals, forms, scheduling systems, and other digital tools
- Follow up with patients regarding appointments, forms, documentation, and administrative requirements
- Monitor patient communications and make sure requests are addressed promptly
- Coordinate patient needs with providers and other members of the care team
- Track outstanding patient tasks and follow through until they are resolved
- Escalate clinical questions appropriately to licensed clinical staff
- Help maintain an exceptional patient experience throughout the patient's relationship with Hormona Vida
- Proactively identify situations where a patient may need additional assistance or follow-up

Provider Coordination Responsibilities

- Support the onboarding of new healthcare providers
- Coordinate provider schedules and availability




- Help providers navigate company systems, technology, workflows, and communication platforms
- Ensure providers receive necessary operational information and documentation
- Coordinate communication between providers, patients, leadership, and administrative staff
- Follow up on outstanding provider tasks and documentation
- Assist with scheduling provider meetings and training
- Help maintain provider onboarding checklists and operational records
- Track completion of required onboarding steps
- Help ensure providers understand established workflows and SOPs
- Escalate operational or technical issues when necessary
- Provide ongoing administrative and technology support to providers

Phone & Customer Service Responsibilities

This position will be responsible for answering the company's incoming phone line during business hours.

You should be comfortable speaking with patients throughout the day and handling conversations with patience, professionalism, empathy, and confidence.

You will:

- Answer incoming calls promptly and professionally
- Assist prospective patients interested in Hormona Vida services
- Answer basic questions about services, scheduling, and administrative processes
- Schedule appointments when appropriate
- Route clinical questions to the appropriate licensed team member
- Document important calls and follow-up items
- Return messages and ensure unresolved issues receive follow-up
- Help resolve patient concerns whenever they fall within your responsibilities
- Escalate sensitive or complex situations appropriately

We are looking for someone who understands that every phone call and patient interaction represents the Hormona Vida brand.

Technology & Systems

Hormona Vida is a technology-driven healthcare organization.

You do not need to be a programmer, but you should be someone who learns new technology quickly and enjoys working with digital systems.

You may work with:

- Electronic Health Record (EHR) systems
- Patient portals
- Scheduling platforms
- CRM systems
- Internal communication platforms
- Project-management systems
- AI-powered tools
- Digital forms and workflow automation
- Google Workspace and similar business applications





You should be comfortable learning new platforms independently and helping patients or providers navigate basic technology issues.

Required Qualifications

- Based in Peru
- Fluent or highly proficient in English and Spanish
- Excellent spoken English, as you will regularly communicate with U.S.-based patients and healthcare providers
- Excellent customer service and communication skills
- Professional and friendly telephone presence
- Highly organized and detail-oriented
- Strong follow-through
- Comfortable managing multiple responsibilities throughout the day
- Strong computer and technology skills
- Ability to learn new software quickly
- Ability to communicate professionally through phone, email, messaging, and video
- Ability to handle confidential information appropriately
- Reliable and responsive during scheduled U.S. business hours
- Ability to work independently while remaining closely connected to the broader team

Preferred Experience

Experience in any of the following is highly desirable:

- Healthcare
- Medical office administration
- Telehealth
- Patient coordination
- Patient scheduling
- Medical receptionist or medical assistant roles
- Provider coordination
- Customer service
- Hospitality or high-touch service environments
- U.S.-based healthcare organizations
- CRM or EHR systems
- Remote work with U.S.-based companies

Previous healthcare experience is preferred but exceptional customer-service, organizational, and technology skills may substitute for direct healthcare experience.

What This Role Is NOT

This is not simply a call-center position or receptionist role.

The person in this position will become an important connection point between our patients, providers, operations team, and leadership.

We want someone capable of growing with the organization and taking on increasing responsibility as Hormona Vida expands.
