Scheduler / Administrative Coordinator - Home Care Agency

Schedule: Full-Time | Monday-Friday | 1:00 pm --- 11 pm
Location: Hybrid

About the Role

We are seeking a highly organized, proactive Scheduler / Administrative Coordinator to support daily operations for a growing non‑medical Home Care agency. This role manages caregiver scheduling, staffing coverage, recruitment support, compliance tracking, and communication with caregivers, clients, and leadership.

Key ResponsibilitiesCaregiver Scheduling & Coordination
- Build, update, and maintain weekly caregiver schedules; ensure full coverage of authorized hours.
- Match caregivers to cases based on availability, skills, location, and client needs.
- Manage call-outs and last-minute changes with clear, timely communication.
- Ensure all scheduling updates are accurate in CanTime (or equivalent systems).
- Coordinate workforce capacity and staffing projections with leadership.

Recruitment & Onboarding Support
- Screen applicants and conduct initial phone interviews.
- Initiate and track background checks, credentials,



and required documentation.
- Monitor expiring licenses/certifications and maintain compliance.

Third-Party & Payor Source Follow-Up
- Follow up with referral sources and payors to confirm receipt of referrals and claims.
- Track pending authorizations and documentation requirements; escalate delays.
- Enter care notes, encounters, and required information into external portals on time.

General Administrative Support
- Answer inbound calls and route as appropriate.
- Maintain organized digital records and perform accurate data entry.
- Support reporting and office operations as needed.
- Follow up with caregivers and clients to close communication loops and ensure service quality.

Required Skills & Experience
- 2+ years in scheduling, administrative coordination, or healthcare/home care operations (strongly preferred).
- Proficiency with CanTime or similar platforms (WellSky, AxisCare).
