• Services organization delivers specific expertise like HR Advice locally close to our business stakeholders. In addition, this department also holds the Global HR Service Desk and the Global HR Specialists team, who play an active global role in maintaining, supporting, and enabling HR service delivery. As HR Service Agent you are part of the Global HR Service Desk within Vanderlande, reporting into the Regional HR Service Desk Lead EMEA, located at Vanderlande headquarters, Veghel. The team consists of ten HR Service Agents in total, and this position will be one of them. As HR Service Agent you are the first point of contact for employees based in LATAM countries Chili, Argentina, Panama and Peru. You resolve first line HR queries and questions related to e.g. HR policies, processes and systems and executes basic transactions. You support employees and managers in using manager- and employee self-service. You play a key role in service delivery and employee experience (Happy Customer!). Your activities focus on operational excellence and continuous improvement. Core competencies - HR operations excellence: accurate, timely execution across onboarding, employee lifecycle, payroll inputs, termination, HR systems, and mobility.
- Attention to detail and compliance: produces precise employment documents and maintains complete, audit-ready employee records.
- Service orientation: responsive and professional support for employees, managers, HR Partners, and payroll stakeholders.
- Ownership and accountability:
manages requests from initiation through completion and proactively follows up on dependencies.
- Confidentiality and integrity: handles personal, payroll, compensation, and termination information appropriately.
- Cross-country collaboration: works consistently across regional processes while adapting to local requirements.
- Prioritization: manages recurring payroll deadlines alongside employee requests and ad hoc changes.
- Continuous improvement: documents processes, maintains knowledge content, and identifies opportunities for standardization.
- Clear communication: communicates HR processes, document requirements, deadlines, and outcomes clear.
- Stakeholder coordination: collaborates with HR Partners, Payroll, IT, managers, employees, and mobility teams. Technical, functional and soft skills - Workday transactions for hires, terminations, employee data, and compensation-related tasks.
- Payroll input preparation, validation, reconciliation, and deadline management.
- Employment contract and amendment administration.
- Onboarding logistics, including coordination of laptops, phones, and welcome materials.
- Termination administration and final-settlement request coordination.
- Employee-record and electronic-document management.
- Microsoft Excel reporting, data validation, filtering, and reconciliation.
- HR case-management tools such as TOPdesk.
- Knowledge-article creation and process documentation.
- Social-security, visa,
and international-mobility document coordination.
- Data privacy and confidential-record handling.
- Demonstrates a high level of accuracy when processing employee and payroll information.
- Delivers a consistent employee experience across multiple countries.
- Works effectively within standard regional processes and local legal requirements.
- Anticipates deadlines and resolves discrepancies before they affect payroll or employees.
- Communicates sensitive or complex HR matters with clarity, empathy, and discretion.
- Maintains well-documented processes and actively contributes to service improvement and knowledge sharing. Recommended requirements Knowledge of Peruvian labor documentation and Ministerio del Trabajo submissions;
experience with policy acknowledgements, vacation documentation, minimum-wage changes, holiday/weekend payments, vacation cash-out, bonuses and allowances; strong policy communication, local process documentation, TOPdesk and general HR-project support. Role qualifications - Bachelor's degree or equivalent experience in Human Resources, Business Administration, Labor Relations, or a related field.
- Approximately 2-4 years of experience in HR operations, shared services, employee lifecycle administration, or payroll support.
- Experience preparing and administering employment contracts, amendments, compensation letters, and termination documents.
- Practical experience with Workday or a comparable HRIS.
- Experience collecting, validating, and submitting payroll inputs, including bonuses, allowances, salary changes, and termination data.
- Working knowledge of employment documentation and payroll practices in at least one Latin American jurisdiction.
