We are seeking a bilingual (English/Spanish) Intake Specialist and Legal Administrative Assistant to join our team full-time, in office. This hybrid role is the first point of contact for new callers and a key support resource for our attorneys, handling intake, medical records requests, and document drafting. The adecuado candidate is detail-oriented, organized, and comfortable juggling client-facing calls with behind-the-scenes case support.

Responsabilities:

- Handle incoming intake calls with professionalism, empathy, and accuracy, gathering all information needed to evaluate a potential case.
- Follow up with callers and clients as needed to gather missing details or answer questions requested by the attorney.
- Request, track, and follow up on medical records and bills from providers on behalf of clients and attorneys.
- Assist with drafting, formatting, and proofreading legal documents and correspondence.
- Provide general administrative and legal admin support on the back end, including file organization, data entry, and case management updates.
- Maintain accurate,



up-to-date case files and records in the firm's case management system.
- Communicate clearly and professionally with clients, medical providers, attorneys, and staff in both English and Spanish, verbally and in writing.

Qualifications

- Fully bilingual — fluent in both English and Spanish (written and verbal) — required.
- 1–2 years of experience in a legal administrative or legal intake role.
- Strong written and verbal communication skills in both languages.
- Experience requesting or tracking medical records a plus.
- High attention to detail, particularly with document drafting and formatting.
- Strong organizational skills and ability to manage multiple tasks and follow-ups simultaneously.
- Professional phone presence and a client-first, empathetic approach to intake calls.

Preferred Qualifications

- Prior experience with a legal CRM (e.g., Litify, Filevine, Clio, or similar case management platform).
- Experience specifically within a personal injury law firm.
