Michie Design & Build is a U.S.-based architecture, design, and construction company working on residential and commercial projects. Our team coordinates projects, clients, consultants, contractors, vendors, and local agencies throughout different stages of the design and construction process.

About the Role

We are looking for an organized, proactive, and detail-oriented Project Coordination & Operations Assistant to support our U.S.-based operations.

You will work closely with the CEO, supervisors, department leads, Accounting, and project teams, helping manage daily communications, client follow-ups, new leads, meetings, agency coordination, and administrative pending items.

Responsibilities
- Client & Call Coordination: Answer office calls, identify the caller and reason for contact, document relevant information, provide confirmed updates, and route requests to the appropriate team member.
- Lead Management: Receive new leads,



collect client and project information, complete initial follow-ups, and coordinate first meetings or site visits.
- Executive & Team Support: Assist the CEO, supervisors, and department leads with scheduling, reminders, documents, priorities, and administrative follow-ups.
- Agency & Vendor Communication: Contact Building Departments, Zoning, Fire Departments, consultants, contractors, vendors, and other agencies as requested, keeping accurate records of each communication.
- Meeting & Site Visit Coordination: Schedule meetings and site visits, confirm participants, times, locations or meeting links, and document next steps.
- Follow-Up & Task Tracking: Monitor pending calls, estimates, client requests, documents, and assigned tasks to ensure proper and timely follow-up.
