Are you a great communicator who also loves staying organized? Dimov Tax is hiring a Phone Operators & Administrative Support Specialists to be the first voice our clients hear. This is a dual role — part phone operator, part admin — so we're looking for someone who is equally comfortable on a call as they are managing records and scheduling.

What you'll be doing
- Answer and manage inbound client calls in a professional and friendly manner
- Listen to client needs and route or resolve inquiries efficiently
- Take accurate messages and follow through on call-backs — every time
- Enter and update client information in our CRM system
- Schedule and coordinate appointments for team members
- Maintain organized digital and physical client files and records
- Navigate multiple systems simultaneously while on a live call
- Support the team with general correspondence and administrative tasks

What we're looking for:
Phone & Communication Skills:
- Clear, professional speaking voice with strong grammar and tone
- Active listener — you understand the issue before you respond




- Calm and empathetic with frustrated or confused callers
- Able to guide a conversation to resolution without rushing the client

Admin & Technical Skills:
- Typing speed of 40+ WPM with strong accuracy
- Experience with CRM platforms (Salesforce, HubSpot, Zoho, or similar)
- Proficient in Microsoft Office or Google Workspace (Excel, Word, Docs, Sheets)
- Comfortable with scheduling tools like Outlook or Google Calendar
- Able to multitask across systems while maintaining a natural phone conversation

Organizational Skills:
- Strong attention to detail in data entry and message-taking
- Good time management — you handle calls and admin tasks without missing a beat
- Resourceful — you find answers rather than just saying "I don't know"
- Dependable follow-through on every commitment made to a client
